Rate of Pay: $13.19 - $15.30

Definition of Class

Performs office and clerical working support of department directors and other personnel within the departments. Employees in this class are responsible for performing definable tasks involving established procedures and technical knowledge of a work area.  Employees in this class do not exercise supervision over subordinate employees.  Employee in this class works under general supervision; however, a great deal of self-motivation is required.  Employee is responsible for organizing and managing multiple assignments and data associated with the assigned tasks. Contact with customers is frequent and may involve persons who are sometimes antagonistic. This is a part time position and therefore is not eligible for benefits.

Essential Duties Performed

100%-
  • Serves as receptionist; receives and routes telephone calls; dispatches employees using two-way radio;
  • Assists customers with general inquiries; receives and routes customer service requests;
  • Inputs customer service requests into work order system;
  • Greets and screens visitors and provides directions;
  • Checks and reviews a variety of data for accuracy, completeness and conformance to established standards;
  • Processes mail, receipts, and other paperwork associated with the assigned department(s);
  • Operates standard office, word and data processing equipment;
  • Maintains office filing system; ensures accuracy and integrate of office files;
  • Works overtime as required;
  • Must report to work as scheduled and on time.

 

OTHER DUTIES PERFORMED

  • Provides backup to related positions;
  • Serves as a member of various employee teams;
  • May serve as back up to other administrative positions;
  • Operates and dispatches personnel utilizing 2 way radio.
  • Attends meetings, provides minutes and inputs meeting information into work order or work flow process software;
  • Assists departmental staff with software quality assurance/control support for development processes software;
  • Provides appropriate information to other agencies and the public;
  • Performs other duties as assigned.

Minimum Education Requirements

  • Graduation from a high school or GED equivalent with specialized course work in general office practices; or
  • Post-secondary training and/or experience in keyboarding, office administration, computer-based programs in word processing, spreadsheets, data management, etc., and office assistance experience.

Knowledge, Skills and Abilities

Knowledge, Skills and Abilities-
  • Working knowledge of computers and Microsoft Office;
  • Some knowledge of bookkeeping;
  • Basic keyboarding / typing skills;
  • Ability to quickly make accurate arithmetic computations;
  • Ability to effectively meet and respond to management inquires, staff inquiries and the public;
  • Ability to communicate effectively verbally and in writing;
  • Ability to prepare concise and effective records, reports and correspondence;
  • Knowledge and skill in the use of computer programs for word-processing, database management, spreadsheets, and presentation materials;
  • Ability to maintain files;
  • Must have excellent telephones skills;
  • Ability to follow written and oral directions;
  • Ability to handle stressful situations.
